Job Overview
Vale of Glamorgan Council is seeking a Business Support Officer to provide administrative and data support within the Learning & Skills service, supporting Education Welfare, Inclusion and related service areas.
The role will involve supporting the administration and processing of Education Welfare Service penalty notices, fixed penalty notice portal systems, pupil support plan systems, elective home education records, children missing education records, child employment licences, chaperone licences and child performance licences.
The successful candidate will maintain databases, update trackers, collate and interpret data, support the Inclusion Manager, take minutes, handle calls and mail, and provide wider administrative support to the team.

This is an office-based Business Support Officer role within Learning & Skills.
Candidates must be confident working with databases, trackers, electronic systems, data processing, minute-taking, phone calls, mail and administrative tasks.
The role involves supporting sensitive education-related administration, including Education Welfare Service records, non-attendance procedures, children electively home educated, children missing education, exclusions, attendance data, restraint data, child employment licences, chaperone licences and child performance licences.
Candidates without administration, data processing, database, education support, business support or minute-taking experience are unlikely to be considered.
Key Responsibilities
- Support administration and processing of Education Welfare Service penalty notices
- Support procedures linked to non-attendance or failing to secure suitable education
- Support portal systems for Fixed Penalty Notices and Pupil Support Plans
- Ensure trackers are accurate and up to date
- Support administration and data processing for children electively home educated
- Maintain accurate databases for children open to Education Welfare Service
- Maintain records for Elective Home Education cases
- Maintain records for Children Missing Education
- Maintain records for child employment licences
- Maintain exclusion, attendance, licensing, restraint and training data
- Extract and collate data for the Inclusion Manager
- Liaise with members of the Inclusion Team
- Organise and oversee administrative tasks as directed
- Provide administrative support to the team and other service areas
- Process child employment applications
- Process chaperone licence applications
- Process child performance licence applications in line with legislation
- Take minutes of meetings
- Deal with incoming and outgoing mail
- Receive and make phone calls with community members and schools
- Identify concerns and direct details to the appropriate manager or officer
- Cover wider support work responsibilities during staff absence
- Assist with management and development of the ONE database
- Develop, update and maintain electronic systems
- Collate and interpret data to provide management information for service managers

Additional Information
This role is office based at the Civic Offices in Barry.
Working hours are 08:30 to 17:00, Monday to Friday.
Interviews will take place on site at the Civic Offices, Barry.
There will be one interview lasting approximately 45 minutes, based on questions only.
