Job Overview

Rhondda Cynon Taf County Borough Council is seeking an Administrative Support Officer to support the Public Spaces section.

The role will involve providing administrative support across Public Spaces services, which include street cleansing, grass cutting, overgrowth management, weed spraying, parks operations and development, tree management and allotments across Rhondda Cynon Taf.

The successful candidate will provide high-quality administrative support, respond to customer enquiries, manage GOSS CRM queries, process invoices, update records, support service mailboxes, record complaints, maintain data, assist with management reports and support the wider Public Spaces team.

This role requires strong administration, customer service, Microsoft Office, Excel, Word, data input, CRM, records management, invoice processing, written communication and telephone enquiry handling experience.

This is an Administrative Support Officer / Public Spaces Support Officer role.

Candidates must have strong administrative experience and be confident dealing with customer enquiries both verbally and in writing.

The role requires good knowledge of Microsoft Office packages, especially Excel and Word, as well as familiarity with databases.

Candidates should be comfortable using CRM systems, updating records, processing invoices, managing service requests, recording complaints and supporting a busy frontline service.

Candidates without administration, customer service, Microsoft Office, database, CRM, data input, invoice processing or records management experience are unlikely to be considered.

Key Responsibilities

  • Provide administrative support to the Public Spaces section
  • Support services including street cleansing, grass cutting, overgrowth management, weed spraying, parks, trees and allotments
  • Provide high-quality customer service
  • Deliver telephony and written administrative support
  • Respond to customer queries verbally and in writing
  • Provide general advice and information to customers
  • Deal with telephone enquiries following agreed procedures
  • Update the GOSS CRM system regularly
  • Record complaints accurately
  • Manage GOSS CRM queries
  • Process invoices for materials, uniform, PPE and other service requirements
  • Assist with financial matters where necessary
  • Maintain good working relationships with other Council departments
  • Liaise with outside organisations where required
  • Provide records management support
  • Support mail and data inputting functions
  • Liaise with officers to help deliver service aims
  • Respond to queries from Elected Members in a timely and appropriate way
  • Take minutes of meetings when required
  • Keep departmental website pages current
  • Maintain stocks of stationery and consumable items
  • Monitor departmental electronic mailboxes daily
  • Ensure service requests and complaints are dealt with appropriately
  • Interrogate the Council-wide CRM database daily
  • Assist with gathering information for management reports
  • Support senior management reporting against key performance targets
  • Work in line with Health and Safety policies and procedures
  • Support safeguarding responsibilities by reporting concerns appropriately
  • Work in line with Council procedures, confidentiality and data protection requirements

  • Welsh language skills
  • Local authority administration experience
